Allocation table maintenance
The purpose is to define company-specific allocation tables:
-receiving cost centers / dimensions.
-the percentage share in allocation for the receiving cost centers / dimensions.
Tabs
List -a list of defined allocation tables
Numbers -the distribution rates used for each allocation table. All allocation tables locate in the same table.
Add new allocation table
1 In the List tab, right click the row text. Choose e.g. Add below.
2. Define the code and text.
The defined code is used to identify the allocation table, when allocation rules are being defined in the chart of account maintenance. The code is selected to the column “%-table”.
Note
It is not possible to modify existing allocation table code. This is prohibited, in order to ensure the integrity in account steering. This means that it is not possible to modify code for a new allocation table either, even if you have not defined any steering for it yet.
If the name of the allocation table is changed, the change comes into force after saving and exiting maintenance.
It is not allowed to use any special characters in the code ? & % _ / space(bar).
The number of allocation tables is not limited.
4. The allocation base is created.
5. Move on to the Numbers tab. Define distribution basis -percentages to the table. All tables are maintained in the same Numbers tab.
6. Add rows to the table. In the table, right click the table’s name. Choose Add rows.
7. Choose, from the right mouse menu, receiving cost center, and dimension, if needed. Next define each rows’ percentage share for selected time period, for instance Budget.
Note
Add the cost center first, and after that its percentage share.
Month / year
8. Enter the distribution ratios for each month separately, in case, monhtly ratios differ per month. Open the year by right clicking column header. Choose Open the year. Enter percentage ratios to months without percentage sign.
The sum of the distribution percentages entered, does not have to be 100. The entered percentages are used as a distribution ratios in allocation.
If distribution ratios are entered in the year level -year is not opened, the same ratio comes into force for all months at the same time.
9. When exit maintenance, choose Back | Yes. Save changes although Save button has been used during maintenance.
The allocation table can be used, when defining allocations. See chapter: Allocations.
Note
The number of allocation tables is not limited.
Defined allocation table does not have to be used in any allocation.
It is possible to allocate, for example, only 70% of the total.
